Terms and Conditions

These Terms and Conditions relate to orders, bookings and competitions available from Guest Wines.

Guest Wines promotes and encourages responsible drinking. Our events and tastings encourage customers to experience and enjoy wine through discovery, exploration and learning. Please see more information on the Drink Aware website, www.drinkaware.co.uk.

1. Orders

1.1 Orders can be made online, by telephone, 07879779390, or in writing to hello@guestwines.com.

1.2 By placing an order with Guest Wines you are confirming that you are 18 or older. It is illegal for us to sell alcohol to anyone under the age of 18 and we treat your order as confirmation that you are over 18. Guest Wines reserve the right to request proof of age identification in adherence with our Challenge 25 policy.

1.3 If you are buying a case of wine as a gift – the recipient must also be over 18 years old. If our courier is in any doubt about the age of the recipient on delivery, they will request some form of ID. If the person receiving the wine is unable to produce appropriate ID, unfortunately our couriers will be unable to leave the wine but they will re-deliver free of charge the following day or arrange collection of the wine.

1.4 All our prices are quoted in GB pounds sterling £ and include Value Added Tax (VAT), unless otherwise specified. Any delivery charges for products purchased online are additional, unless otherwise specified, and will be added to your bill before you confirm your order. All prices are subject to change.

1.5 Once the wine has been delivered, according to relevant delivery instructions, it becomes the recipient’s responsibility.

1.6 When you place an order on Guest Wines website using Paypal, you will automatically receive emails at each stage of your purchase to confirm the order has been made, processed/cancelled and completed.

1.7  If you aren’t happy with one of the bottles that you have purchased, we will credit your account for the full amount for that particular bottle. If you have bought a case or more of this particular wine, then we will refund you for all of that wine, including delivery, as soon as we have collected the rest of the wine from you, provided, you have only opened ONE bottle of the wine.

1.8 When you give Guest Wines your credit or debit card details you are confirming that you are either the card holder, or that you have permission from the card holder to use the card for the purpose of ordering wine.

1.9 When ordering online, you can pay by Paypal, Direct Bank Transfer or Cheque, however, please be aware that if you choose to pay by Bank Transfer or cheque, we cannot deliver your wine or product until we have received your payment and it has cleared through the banking system.

1.10 When ordering with us in person or by phone, we process your card payment using Mobile Merchant powered by Elavon, accepting Mastercard, Visa, American Express and more. In person, we require your card to be inserted into our Mobile Terminal which is connected to an iPad, Smart phone or laptop. By phone, we take your card details and enter them onto the secure Terminal page of our Elavon Merchant Account, these details are deleted as soon as the transaction is complete. Customers can be safe in the knowledge that Elavon’s SSL certificate and PCI DSS compliance ensure the highest levels of security.

1.11 As we deal with many small producers,it is possible that we might run out of stock but we aim to get hold of new stock as soon as possible, unless the product was in limited supply and is no longer available or it is a wine that we will no longer stock.

2. Delivery

2.1 Standard delivery on wines ordered from us and in stock is 5 working days. Guest Wines do not have a minimum bottle order, however, we do ask that your minimum spend is £150 in order to qualify for free delivery.

Delivery charges are as follows:

Orders under £150 = £8.99

Orders over £150 = Free Delivery

2.2 We currently deliver to all UK postcodes. Delivery outside this area will be charged accordingly.

2.3 Deliveries in the run up to Christmas can take a little longer as couriers are very busy but we do our best to ensure your wines will arrive in time.

2.4 Most of our wine deliveries are made by Simpson Brothers, who we’ve selected as they are family run, safe and reliable, providing nationwide coverage and a liquid fragile service to look after the wines on their way to you. They will do their best to follow any delivery instructions that have been provided but do require a signature as proof of delivery and they won’t leave the wines in an unattended place.

Simpson Brothers will attempt delivery at your address, if no-one is in they will leave you a card to say delivery has been attempted and invite you to arrange a suitable day for delivery. They will attempt delivery again the following day, free of charge. If they are unable to deliver the wines, they will be stored safely for you to arrange pick up at their depot.

2.5 If your order goes missing, or is damaged, between dispatch and delivery, we will organise a credit, refund or replacement as soon as we can. If we are unable to dispatch replacement goods within 7 days we will offer you a full refund. For these purposes, delivery takes place when products are left at your delivery address or with someone else in accordance with your instructions.

2.6 We reserve the right to contact your card issuer for the purposes of carrying out security checks.

2.7 We will only share your details with 3rd parties when necessary to fulfil your order e.g. couriers.

2.8 Any promotions, discounts or vouchers are single use only and can not be used in conjunction with any other promotion, discount or voucher unless otherwise stated

2.9 Any product may be withdrawn from offer on our website without notice.

2.10 If for some reason we are unable to fulfil your exact order, we will put your order on hold and contact you for further instructions on whether you are happy for substitutes of at least the same value to be made.

3. Cancellations

3.1 You reserve the right to cancel your order within 14 days from the date you receive your product. In the case of wine, all bottles must be unopened and intact. Please notify us by email at hello@guestwines.com. We shall reimburse the cost of the wine within 14 days from the date you notify us of the cancellation once the wine has been collected by our courier, returned to our storage centre and inspected. 

3.2 We reserve the right to cancel any orders we cannot fulfil for any reason. Naturally if your order is cancelled we will contact you immediately to explain why and refund any money you have paid us for that order.

4. Returns

4.1 Guest Wines and our courier service do everything we can to ensure your wines arrive with you in an undamaged state. However, if some or all of the bottles in a case delivered to you are broken or damaged when they arrive you should notify Guest Wines by telephone or email within 24 hours and we will replace any damaged wine or refund you the cost. In certain circumstances, we reserve the right to request return of the damaged product before any remuneration is given so that we can make our own assessment.

4.2 It is the recipient’s responsibility to carefully inspect the bottles on delivery, as we will not consider any claims for breakages of our wines unless the breakage is stated on the delivery documentation.

4.3 Your statutory consumer rights are not affected.

4.4 All wines supplied by us will be of satisfactory quality and fit for for their general purpose. Given the distinct nature of wine, please remember that maturation is a variable process and some wines may no longer be at their peak at the time of consumption. Should this be the case, it will not amount to a breach of warranty.

5. Bookings

5.1 By booking to attend an event or tasting, or booking a private tasting, with Guest Wines, you are confirming that you are 18 or older.

5.2 Please inform us of any dietary or mobility requirements when booking for an event. It is very important to us that everyone is catered for and accommodated to enjoy their experience.

5.3 When you book a corporate or private event with us, we allocate resources to organising this. If you decide to change the specification or date of the event, or choose to cancel your booking, you will be liable for change or cancellation fees.

You are required to make full or part payment of your booking at the time of making the booking. The amount will be advised to you at the time of booking and is a non-refundable deposit. This will be invoiced to you, however, we need to make an additional charge of 2.5% if you choose to pay by credit card. You must pay the full balance by the balance due date notified to you, usually 30 days before the event date. If full payment is not received by the balance due date, we may cancel your booking and charge the cancellation fees set out below:

If you cancel with more than 30 days in advance: The non-refundable deposit.

If you cancel less than 30 days in advance: 100% of the booking as quoted.

We shall do our best to accommodate customers should you need to change the date of an event. However, you may be charged a rebooking fee in addition to the booking cost initially quoted. If we are unable to provide resources for the changed date, the booking will be treated as cancelled by you and will be subject to the cancellation terms outlined above.

5.4 If you cancel your place at an event or tasting, the same timescales apply, however, you can send a substitute in your place or have credit for the ticket value for a future Guest Wines event. We cannot offer a refund for any no-shows on a booked event.

5.5 Guest Wines reserve the right to change the date of any of their tasting events if and when unforeseen circumstances arise, however, we will endeavour to ensure that we notify our customers of any date changes at the earliest opportunity. If we cancel an event, you will receive a full refund.

5.6 Guest Wines require a minimum number of attendees for a ticketed wine tasting event to go ahead, if this minimum number is not achieved all customers with a place booked will be notified as soon as possible and offered a place on an alternative date.

6. Payday Deals

6.1 These deals allow for the payment of a deposit amount to guarantee a place at an event. In order to confirm a place, the remaining balance must be paid at least 30 days before the event date. If final payment is not received at the latest 30 days before an event, the place is no longer guaranteed and the deposit amount cannot be refunded. If customers wish to pay the final payment after the 30 day cut off we can only offer a place if one is available.

7. Competitions

7.1 Guest Wines competitions are free to enter, unless otherwise stated, and no purchase is generally necessary. If the prize involves event tickets and the winning entrant has already purchased event tickets, the equivalent amount of the winning tickets will be reimbursed.

7.2 Guest Wines competitions are open to all residents of the UK who are aged 18 or over.

7.3 Only one entry per person is permitted.

7.4 The prizes are non-transferable. There are no cash alternatives.

7.5 Competition winners are drawn at random from the correct answer. Entries must be received before the specified date and must comply with the entry requirements with correct and current details.

8. Data Protection

8.1 By providing your details to Guest Wines, you consent to us maintaining, recording, holding and using the information given at the time of ordering to process your order or competition entry, to improve our services to you and to inform you of promotions. All data is collected lawfully and maintained in accordance with the Data Protection Act 1998. Guest Wines does not have access to your payment card details during the order process or at any time.

8.2 Your personal details will only be passed on to another company or third party where this is necessary for the purposes of processing your request. Guest Wines may email you details of news and products, unless you have informed us that you do not want your personal details to be used for this purpose. You can unsubscribe at the bottom of any email or contact us at hello@guestwines.com with Unsubscribe in the subject line. Other than as stated in these terms and conditions, we will never disclose information about you to any third party.

9.2 Guest Wines shall not be liable for any delay in or failure to perform obligations if that delay or failure is caused by circumstances beyond our control.

9.3 Guest Wines reserve the right to amend these terms and conditions at any time required.
